Cancellation Policy....

I was just about to sign up when I read the cancellation poilicy for Arizona. It states "Full refund less $30.00 processing fee, with at least 10 day notice prior to the event".

In So and Nor Cal, "Fees are fully refundable, less a $30 processing fee, provided that you registered at least 12 days in advance and you notify your NASA region within 5 days following the missed event".

Too bad there's not a National policy on cancellations. 10 days prior gives me little cushion (if any) against rain which is my main concern since I'm traveling from Pasadena. I also read that fees go up at some point closer to the event so I guess I'll just wait and make my decision closer to the event and depending exactly how much the entry fees go up.....

Put yourself in the regional director's position...
How do you plan, and more importantly budget, for an event if 10-15 people cancelled at the last minute just because they didn't feel like driving in the rain, waking up early that day, get their car finished in time, etc? That's a $3,000 - $4,500 swing....or a half a run/race group that potentially doesn't show up for our event just you don't feel like driving in the rain.

As of today, the fees for running a full weekend of race group are $289 for the PIR event (AZ) and $329 for the Infineon event (Nor Cal). Maybe NASA AZ should just start charging more for their events and then implement the same refund policy? If you're that concerned about it, maybe just wait till the week of to sign up and pay the slightly higher reg fee. Just don't be upset if your group is sold out by then with drivers who aren't scared by running in the rain.

Mario I guess you'd have to ask the directors of Nor Cal, So Cal, and Texas how they manage but it appears they do just fine with their refundable policy. My point wasn't to argue about Arizona's policy, they can choose whatever policy they want. I've raced in all 3 regions listed above and I'm planning on adding Arizona this year- weather permitting. I think it would be beneficial to members if there was a National policy. That's all, you can argue the merits of the different polices, I would just like to see them consistent.

As for event costs, Sears-Infineon costs more because the track is more expensive to rent something like $16k per day. Cal Speedway is similar while others like Thunderhill, Willow Springs, Buttonwillow are more like $5k per day. The entry fee at those tracks is $299 per weekend. I'd be curious to know what PIR charges...

So I guess I'll take your advice Mario and wait until I'm within a predictable weather forecast. I think its important to remember that I'm going to be hauling 7 hours each way incurring fuel and hotel expenses. It would be really expensive if I incurrend registration costs too and then couldn't race....

If you plan on running PIR in January, you better book your hotel ASAP. The BCS National Championship in on January 10th so rooms on that side of town might be hard to come by that weekend...
